Terms of Service
Last updated: November 4, 2026 | Effective date: November 4, 2026
These terms apply to the Gulani Store Manager app for Android and to the other Gulani Stores apps and services: the Windows app, the web app, accounting and the ZRA Smart Invoice link. Please read them before you use the app.
1. Who We Are and Agreeing to These Terms
The Gulani Store Manager app ("App") and our related services (together, the "Service") are provided by Gulani Stores Limited ("Gulani Stores," "we," "us," or "our"), a company based in Ndola, Zambia.
By downloading, installing or using the App, or by creating an account, you agree to these Terms of Service. If you use the Service on behalf of a business, you agree to them for that business, and you confirm that you are allowed to do so. If you do not agree, please do not use the Service.
The apps you install are also covered by our End User Licence Agreement. If you join our affiliate programme, the Affiliate Terms apply to that too.
2. The Service
The Service helps businesses run their stores. Depending on your plan, it includes:
- Point of sale: recording sales, taking cash, mobile money and card payments, and printing receipts.
- Inventory, purchases, suppliers, customers, staff and shifts.
- Reports on sales, stock and profit.
- Accounting, and a link to the Zambia Revenue Authority (ZRA) Smart Invoice system.
We add, change and sometimes remove features as the Service improves. We will not remove a main feature of a paid plan during a period you have already paid for.
3. Your Account
- You must be at least 18 years old, or have the permission of a parent or guardian, to create an account.
- Give us accurate details when you register, and keep them up to date.
- Keep your password safe. You are responsible for everything done with your account.
- You can add staff to your store. You are responsible for what your staff do in the Service, and for giving each of them only the access they need.
- Tell us straight away at support@gulanistores.co.zm if you think someone has used your account without permission.
4. Free Trial, Plans and Payment
- Your first store starts with a free trial. The length of the trial is shown when you sign up. When it ends, you need a paid plan to keep using the paid features.
- Plans are priced per store, in the currency shown for your country, and paid in advance for the number of months you choose.
- Plans do not renew automatically, and we never charge you without you paying. We email you a reminder 5 days and 2 days before your plan ends, and on the day it ends.
- Prices are shown on our pricing page and in the App. A price change never affects a period you have already paid for, and we will give you at least 30 days' notice before it applies to you.
- When a paid plan ends and is not renewed, the paid features stop until you pay again. Your data is not deleted because a plan ended.
- You pay through the secure checkout of our payment provider, by card or mobile money. Your card issuer or mobile money provider's own terms also apply.
5. Refunds and Cancellation
You can stop at any time by not renewing your plan, or ask us to cancel it. Refunds and cancellations are covered by our Refund and Cancellation Policy, which forms part of these terms.
6. Your Data
- The business data you put into the Service, such as your products, sales, customers and records, belongs to you. You give us permission to store and process it only so that we can provide the Service to you.
- How we collect and protect personal information is explained in our Privacy Policy.
- You are responsible for the data you enter, and for having the right to enter it, including any information about your own customers and staff.
- You can ask us to close your account and delete your data. See Delete Account. Some records may need to be kept for a period required by law, such as tax records.
7. Working Offline
The App lets you keep selling without an internet connection. Sales made offline are kept on your device and sent to our servers when the device is back online. Until then they exist only on that device, so they can be lost if the device is lost, damaged, reset or the App is removed. Connect your devices regularly, and do not uninstall the App while it shows sales waiting to be sent.
8. Tax and ZRA Smart Invoice
If you use the ZRA Smart Invoice link, the Service sends your invoices to ZRA using the details you set up. You remain responsible for your own tax affairs: your tax details, prices, tax rates and returns. The Service is a tool to help you, not tax or accounting advice. If ZRA's systems are unavailable, invoices may be sent later, and we are not responsible for delays or errors caused by ZRA's systems.
9. Acceptable Use
When you use the Service, you agree not to:
- break any law, or use the Service to sell illegal goods or services;
- enter false sales or tax records, or use the Service to commit fraud;
- copy, change, reverse engineer or resell the App or the Service, except where the law allows it;
- try to get into accounts, stores or systems that are not yours, or interfere with the Service or its security;
- upload viruses or other harmful code;
- share one paid store between several separate businesses.
10. Updates and Availability
- We release updates to fix problems, keep the Service secure and add features.
- Some updates are required. When an older version of the App can no longer work safely with the Service, the App will ask you to update before you can continue.
- We work to keep the Service available at all times, but it may sometimes be unavailable, for example during maintenance or because of problems with internet or mobile networks. We will try to warn you before planned maintenance.
11. Hardware and Other Services
Hardware, installation, training and other services you buy from us, such as POS terminals and printers, are covered by the details and any warranty on your quotation or invoice.
12. Third-Party Services
The Service works with services run by others, such as Google Play, mobile money providers, banks, ZRA, printers and cloud hosting. Those services have their own terms, and we are not responsible for them.
13. Our Rights in the Service
The App and the Service, including their software, design and the Gulani Stores name and logo, belong to us or the people who license them to us. We give you a personal, non-transferable right to use the App and the Service for your business while your account is in good standing. We keep all other rights.
14. Disclaimer
We provide the Service with reasonable care and skill. Apart from that, and to the extent the law allows, the Service is provided "as is" and "as available." We do not promise that it will always be free of errors or interruptions, or that it will meet every need of your business. Check important figures, such as stock counts, tax returns and payments, before you rely on them.
15. Limitation of Liability
To the extent the law allows:
- we are not liable for indirect or consequential losses, such as lost profits, lost sales, lost business or lost data that you could have prevented, for example by syncing your devices;
- our total liability to you for any claim about the Service is limited to the amount you paid us for the Service in the 12 months before the claim.
Nothing in these terms limits any rights you have under the law that cannot be limited.
16. Suspending or Closing an Account
You can stop using the Service at any time. We may suspend or close an account that breaks these terms, is used for fraud, or puts other users or the Service at risk. Where we can, we will warn you first and give you a chance to fix the problem. If we close your account, you can ask us for a copy of your data within 30 days.
17. Changes to These Terms
We may update these terms from time to time. When we do, we will change the "Last updated" date at the top of this page. If a change is significant, we will tell you by email or in the App before it takes effect. If you keep using the Service after a change takes effect, you accept the updated terms.
18. Governing Law and Disputes
These terms are governed by the laws of Zambia. If you have a complaint, please contact us first at support@gulanistores.co.zm, and we will try to resolve it with you. Any dispute that cannot be resolved this way will be decided by the courts of Zambia.
